1. Information We Collect

Account Information

  • billing information (when payment features are enabled)

Integration Data

When you connect integrations, Caddy may access and process data from those services, including:

  • emails
  • messages
  • documents
  • calendar events
  • task or ticket data

This data is used to provide the Service, including generating outputs, performing automations, and enabling workflows across connected systems.

Device and Technical Information

  • IP address
  • operating system
  • device identifiers
  • browser type and configuration

Usage Data

We collect information about how you interact with the Service, such as feature usage and system events.

Customer Data

Integration Data and content you provide through the Service, including prompts, responses, and conversation history, are collectively referred to as “Customer Data.”

2. AI and Automated Processing

Caddy uses machine learning technologies to generate outputs and perform automations. Prompts, context, and related data may be processed by third-party AI service providers in order to generate responses for you. Caddy does not use Customer Data to train AI models. Where supported, Caddy may configure providers to limit retention of prompts and outputs. For example, certain requests may be processed using zero data retention configurations depending on the provider and configuration used. Caddy may process data to generate summaries, insights, structured outputs, and other derived information as part of providing the Service.

3. Product Improvement and Analytics

We use data to improve the performance, reliability, and functionality of the Service. This may include:

  • analyzing usage patterns and feature usage
  • debugging issues and failures
  • evaluating system and automation performance
  • conducting internal analytics

We may use internal tools and service providers to support these activities. You can disable sharing of LLM interaction data for evaluation and quality purposes at any time in Settings. When disabled, prompts and responses are not sent to our evaluations provider. Disabling this setting applies to future interactions. Previously collected data may be retained in accordance with this policy. You may request deletion of this data by contacting us at contact@trycaddy.ai

4. How We Use Information

We use information to:

  • provide and operate the Service
  • execute automations and workflows
  • maintain reliability, performance, and security
  • analyze usage and improve functionality
  • develop new features and capabilities
  • communicate with you
  • comply with legal obligations

Caddy does not sell personal information or use your data for advertising or marketing profiling.

5. Sharing of Information

We may share information with service providers that support the operation of the Service, including infrastructure providers, analytics providers, AI service providers, and other operational tools. These providers process information on our behalf and are subject to appropriate safeguards. We may also disclose information:

  • to comply with law or legal process
  • to protect rights, property, or safety
  • in connection with a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or part of our business

6. Subprocessors

7. Cookies and Tracking

Caddy uses cookies and similar technologies to:

  • operate and secure the Service
  • maintain user sessions
  • remember preferences
  • analyze usage and performance

We may use analytics providers to understand how users interact with the Service. You can control cookies through your browser settings. Some features may not function properly without cookies.

8. Data Storage

Customer data may be stored and processed in the United States and other jurisdictions where our service providers operate. Alternative data residency options may be available where agreed.

9. Data Retention

We retain information for as long as necessary to provide the Service and fulfill the purposes described in this policy. Conversation history and other content in your account are retained for the life of your account so you can access them. You can delete this data at any time, or request deletion by contacting us at contact@trycaddy.ai.

When an account is deleted:

  • customer data is deleted within 30 days
  • backups may persist for up to an additional 30 days

We may retain certain information:

  • for security, fraud prevention, and debugging
  • to comply with legal obligations
  • to enforce our agreements

10. Security

Caddy implements administrative, technical, and organizational safeguards designed to protect information. These include:

  • encryption in transit
  • encryption at rest
  • access controls

Access to data is restricted to authorized personnel as necessary to operate, secure, and improve the Service.

11. International Transfers

We may transfer and process data in countries outside of your jurisdiction. Where required, we rely on appropriate safeguards, including Standard Contractual Clauses.

12. Your Rights

Depending on your location, you may have rights to:

  • access your personal data
  • correct inaccurate information
  • request deletion
  • request a copy of your data

13. California Privacy Rights

California residents may have rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including rights to access and delete personal information. Caddy does not sell personal information or share personal information for cross-context behavioral advertising.

14. Children’s Privacy

Caddy is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided personal information, we will take steps to delete such information. If you are a parent or guardian and believe that a child has provided personal information, you may contact us at contact@trycaddy.ai and request that we delete the information.

15. Third-Party Services

The Service may connect to or rely on third-party services and integrations. This Privacy Policy does not apply to the privacy practices of those third parties, which are governed by their own policies.

16. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the date at the top of this page. For material changes, we may provide notice through the Service or by email.
